The personal cash ledger

Some personal brokers report every cash move for you; others report only your trades. When a broker doesn’t hand PropStax your deposits, withdrawals, and fees — CQG (AMP) is the main one — you log them yourself, so your Net deposits and account value stay honest. This is the personal-account counterpart to prop costs and payouts.

Where it lives

Flip the Prop / Personal switch to Personal and open Financials. On a broker PropStax can write to, the header shows Add entry, and the KPI tiles invite you to Click to add a deposit/withdrawal/fee.

On a read-only broker (Tradovate reports its own cash), there’s nothing to add — the empty state reads No personal cash activity yet, “This ledger is read-only — it mirrors what your broker reports.” Accounts like that show up tagged Sync Only in the account picker and can’t be typed into.

Adding one entry

Click Add entry to open Add cash entry, on the Single Entry tab:

  • Account — the account the money moved on.
  • Type — Deposit, Withdrawal, Fee, or Adjustment. Use Adjustment with a negative amount to nudge a balance that’s drifted.
  • Amount ($) and Date.
  • Credit (refund or money back) — on a Fee, tick this when the broker gave money back rather than took it.
  • Note (optional) — shows in the ledger row (e.g. Monthly platform fee).

Click Save entry.

Bulk entries

Switch to the Bulk Entries tab (desktop only) to add many rows at once — ideal when you’re catching up on months of history:

  • Pick a Date format so PropStax reads your dates the way you write them.
  • Paste straight from a spreadsheet — columns in order: Date · Type · Amount · Note — or type row by row and use Add row.
  • Review and Save n entries.

Recurring monthly rules

For a charge that repeats — a platform or data fee — tick Repeat monthly when adding an entry:

  • Day of month — the day it posts (PropStax uses the last day for shorter months).
  • Ends — leave it running, or Set an end date and pick an End date.

Recurring rules gather in a Recurring section on Financials, each showing its day, amount per month, and account, with the broker it’s charged on tagged above the amount. The section follows your account filter — deselect a broker and its rules drop out along with its ledger rows, so the two always describe the same accounts. Editing a rule opens Edit recurring rule; Save recurring rule applies it.

Editing and deleting

Every manual row has Edit and Delete in its Actions column. Editing opens Edit entry (Save changes to apply). Deleting asks Delete entry? — “This cannot be undone.” Deleting a recurring rule asks Delete recurring rule? — future occurrences stop, but entries already posted stay in the ledger.

How it fits the rest

Manual entries sit in the same ledger as anything your broker does report, and feed the same Deposits / Withdrawals / Broker fees / Net deposits tiles, the Net Gain or Net Loss beside Account value, the Personal dashboard, and the Personal Calendar cash-flow view. They’re kept completely separate from your prop-firm Net cash. On the Net Gain or Net Loss tile, a deposit or withdrawal you haven’t logged yet reads as a gain or a loss until you log it. Fees you enter here are non-trading charges — per-trade commissions come from your declared rates instead.
