Tagging strategy for 50+ accounts
When you only have a handful of accounts, you can find anything by scrolling. At 50+ accounts, scrolling stops working — you need tags that let you filter to exactly what you want. Here’s a strategy that scales.
Pick a few tag dimensions, not dozens
The mistake most people make is creating one tag per situation. After a few months they have 80 tags, none of which they remember, and the filter chips on the Broker detail page become unusable.
Better: pick 2–4 dimensions and stick to a small vocabulary in each.

Four dimensions × 4 values each = 16 tags total. That’s manageable.
Tag at bulk-create time
The biggest scale-tagging lever is the Bulk-create wizard. Each row in the wizard has its own tag input, and every account generated from that row inherits the tags.
So if you bulk-create “30 Apex 50K evals from Q1 2026 that all blew,” tag the row once with 2026-q1 + blown-attempt and all 30 accounts are tagged the moment they’re created — none of them need individual touching.
This is the main path for tagging many accounts at once.
Tag at sync-add time
When you sync new accounts in from a broker, the wizard prompts you to classify each new account (account type, profit target, etc.). The moment those accounts land in PropStax, hop over to each one and add your tags while the context is fresh. It’s slower than bulk-create-time tagging, but you’re already in the flow — better than coming back later and trying to remember which account was which.
Prune occasionally
Every few months, open the Tag library and look at the “Used on N accounts” count. Tags used on zero accounts can be deleted. Tags used on one or two accounts are usually noise — consider deleting them or merging into a broader tag.
What NOT to tag
- Anything you can filter by another way (status, account type, broker). Don’t tag accounts
apexif they’re already on Apex — the broker is already a filter. - Per-account notes (“this one I bought during the Black Friday sale”). Tags are for groups, not per-account context. Use the alias instead — click the account name on Account detail to rename it.
