Setting up a weekly review routine

If you trade across multiple brokers, weekends are the right time to catch up on bookkeeping. Here’s an order of operations that takes ~15 minutes and keeps PropStax in sync with reality.

1. Sync everything

Start with Sync in the sidebar. Run it for each broker connection you have. Rithmic and DxFeed re-prompt for credentials every time — that’s expected.

For Tradovate, just click through; the OAuth connection is persistent.

After each sync, the Balance adjustments walkthrough may pop up if PropStax detected unexplained balance changes (payouts, resets, fees). Resolve those before moving on.

2. Check the Dashboard for stale warnings

Go to Dashboard. Scan for any account row showing an orange “stale” sync timestamp. Those are accounts where the last sync was more than 24 hours ago — usually because the broker dropped them temporarily, or your credentials didn’t include them this week.

If you see stale accounts, decide: was that broker syncs missed earlier? Run sync again. Did the account get dropped? Use the Missing accounts prompt to mark its real status.

3. Log the week’s payouts

Open Financials. Sort by date descending and look for payouts that should have been added but aren’t. PropStax catches some via Balance adjustments, but not all — particularly broker-total payouts that hit multiple accounts.

For each payout you got this week, click Add payout and log it. Bulk mode handles “the same payout split across 4 funded accounts” in one go.

4. Log the week’s costs

Same Financials page, this time looking for costs: eval purchases, resets, monthly subscriptions, data fees. Add cost for each — most weeks you’ll have at least a subscription line item.

If a fee was a broker-wide subscription not tied to one account, use Broker total mode.

5. Review per-broker performance

Switch to ReportsPer-broker comparison with the period set to “30d.” Scan the Net column. If a broker has gone negative recently, that’s worth thinking about.

6. Glance at the Calendar

Open Calendar in Cash flow mode. See the week’s movement at a glance — green tiles for payouts received, red tiles for costs paid. Helps you spot any day where you logged something on the wrong date.

Switch to Trading mode to see how the week’s trading went day-by-day.

7. Update tags as needed

On any account whose situation changed this week — became funded, got blown, started a new attempt — visit its Account detail page and update the tags row. This keeps the bulk-filter view useful for next week’s review.

That’s the loop

Sync → Balance adjustments → Dashboard scan → Log payouts/costs → Reports check → Calendar glance → Tag updates. Roughly 15 minutes. Monday starts with everything reconciled.
