Switching from your old spreadsheet to PropStax

If you’ve been tracking evaluations in Excel or Google Sheets, you can move everything into PropStax and keep going from there. The trick: split your history between Import (the old stuff) and Sync (anything still active).

Step 1 — Connect your live accounts first

Anything you’re actively trading on a supported broker should come in via Sync, not Import. Sync pulls trade history, balances, and snapshots automatically — your spreadsheet probably doesn’t have most of that.

Go to Sync in the sidebar, pick your data feed, and bring in your current active accounts. Do this for each broker. Up to 5 accounts per sync run — repeat if you have more.

Step 2 — Bulk-create the historical accounts you no longer trade

For evaluations the broker no longer offers a data feed for (closed accounts, blown evals from years ago, brokers PropStax doesn’t support live), use Bulk-create from scratch.

If your spreadsheet looks like “I had 30 Apex 50K evals, 20 of them blown, 10 closed,” one row per outcome group will generate them all. No need to enter each account individually.

Step 3 — Upload your costs and payouts spreadsheet

PropStax’s Import wizard has an Upload a spreadsheet mode that takes a broker-tailored template. Download the template for your broker, paste your costs and payouts from your existing sheet, and upload.

You get one cost or one payout per row, attached to the matching account.

What you’ll lose (be honest about this)

Bulk-created and imported accounts have no trade history or daily P&L charts. The account record is there, the financial entries are there, but the Calendar and Reports pages will show “no activity” for those days. That’s by design — PropStax can’t make up historical snapshots from nothing.

If you need that history visible, your only option is to keep the spreadsheet around as an archive and use PropStax for everything going forward.

What you’ll gain

  • One running balance per account, updated automatically on every sync.
  • Per-broker comparison on Reports.
  • A cash-flow Calendar that shows real money moving in and out.
  • A net P&L tile on your Dashboard that updates with every sync.

A reasonable order

  1. Sync your active broker connections (one at a time).
  2. Bulk-create the historical groups (one row per outcome group).
  3. Upload one spreadsheet per broker with the costs/payouts.
  4. Spot-check on Reports → Lifetime totals — the per-broker totals should match what your spreadsheet showed.
